Job Summary:

The Project Manager Assistant will provide administrative and operational support to the Vice President and Project Manager, ensuring the smooth execution of projects from inception to completion. This role involves coordinating project activities, managing schedules, communicating with vendors and Sponsors, and maintaining project documentation. The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a fast-paced environment

Key Responsibilities:

Administrative Support:
Assist the Vice President and Project Manager with day-to-day tasks and project management activities.
Schedule and coordinate meetings and appointments.
Prepare and distribute meeting agendas, minutes, and action items.
Project Coordination:
Maintain project schedules, tracking deadlines, deliverables, and milestones.
Assist in the preparation and updating of project plans and status reports.
Coordinate with team members to ensure tasks are completed on time.
Documentation and Reporting:
Manage project documentation, including contracts, reports, and correspondence.
Ensure all project documents are properly filed and accessible.
Assist in preparing project presentations and reports for stakeholders.
Communication:
Act as a point of contact between the Vice President, Project Manager, team members, and Vendors/Sponsors.
Facilitate communication within the project team and with external partners.
Address inquiries and provide information as needed.
Resource Management:
Assist in managing project resources, including personnel, equipment, and materials.
Monitor project budgets and expenditures, reporting any variances to the Project Manager.
Help coordinate the allocation of resources to ensure project efficiency.
Quality Control:
Assist in monitoring project progress to ensure adherence to quality standards.
Participate in risk management and mitigation activities.
Support the implementation of project management best practices and methodologies.
Qualifications:
Education: Bachelor’s degree in business administration, Project Management, or a related field preferred.
Experience:
Previous experience in a project management support role or administrative position.
Familiarity with project management tools and software (Asana).
Skills:
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Detail-oriented with a focus on accuracy.
Ability to work both independently and as part of a team.
Ability to work under pressure in a deadline-driven environment
Preferred Qualifications:
Project Management Professional (PMP) or similar certification.
Experience with project management methodologies
Knowledge of industry-specific regulations and standards.
Working Conditions:
Primarily office-based with occasional travel to project sites as needed.
Flexibility to work extended hours or weekends during peak project phases.
This position is a temporary position starting June 1, 2024-November 1, 2024 with a possibility to be full-time after project completion.

The publication’s motto is “The voice of the community speaking for itself.” In addition to publishing the Los Angeles Sentinel Newspaper weekly on Thursdays, it also produces two major events: Taste of Soul Family Festival, which is the largest free one-day street festival in California and the Power, Leadership & Influence of the Black Woman event.
